1. Food Services Director: full-time, 40hours/week

The Job Description...

The Food Services Director is responsible for supervising and coordinating the food services activities of the Church. This is a full-time salaried position.

 

Principal Responsibilities:

1.    Supervises and coordinates activities of employees and volunteers engaged in preparing and serving food.

a.    Supervises and/or engages in planning of menus and preparation of meals to accommodate scheduled activities

b.    Purchases and keeps adequate supply of food

c.    Inventories and receives food items and records acceptance on invoices

d.    Prepares work schedules for kitchen employees. Oversees employees while preparing, serving and cleaning food service areas.  Ensures that excellence in health and safety are practiced.

e.    Makes recommendations with respect to personnel actions, such as, hiring, terminating, rating performance, salary changes and resolving personnel problems.  Maintains accurate records of hours worked and approves weekly time cards.

2.    Coordinates and helps prepare the Wednesday Night meal.  This includes:

a.    Planning and execution of meals

b.    Publishing menus

c.    Maintaining meal reservation lists

d.    Coordinating with group leaders for volunteer help

e.    Ensuring that change is available and meal cost is collected

f.    Ensuring that funds are deposited in Finance Office and accurate records are maintained on cost vs. income

 

3.    Plans and coordinates other regularly scheduled events.    

4.    Works with appropriate leaders of non-church groups for food service.

5.    Leads Lord’s Supper Ministry Team in preparing communion elements for worship which occurs quarterly.  

6.    Reviews and monitors financial records of receipts and disbursements in the kitchen account.

7.  Approves and submits for payment all invoices related to food services.

8.  Oversees the day-to-day planning, preparation and serving of the meals provided for Heart of the City Kids. This includes menu planning and monthly billing.

9.    Cooperates with Health Department to ensure that facilities meet or exceed requirements. Responsible to see that any discrepancies sighted by Health Department inspections are promptly corrected.

10.    Serves as ex-officio member of the Special Events Ministry Team.

11.    Performs other duties as assigned.
 

2. Front Desk Receptionist: full-time, 37hours/week

The Job Description...​

The Church Receptionist is responsible for meeting and greeting all church visitors, either in person or by telephone, answering questions and providing appropriate information. This job is a full-time salary position.

Principal Responsibilities:

1.    Answers phone, greets visitors, and operates the Keyscan security door system, allowing guests ingress to the building.  Assists people, on phone or in person, with myriad information requests.

2.    Communicates with support staff – custodial, AVL, food service – regarding event requirements.

3.    Monitors in-house camera system – viewing multiple locations throughout the church.

4.    Accumulate, post, and sort mail.

5.    Maintains and emails by 10:00 am the hospital visitor list and daily hospital list.

6.    Receives, records and publishes the Prayer List.  This is done twice weekly for printed list, daily for electronic notices.  

7.    Interfaces with families and ministers in scheduling funerals and family meals to include rooms and resources.  Makes copies of the funeral program. 
8.    Maintain up-to-date training manual for substitute receptionists and conduct training sessions for volunteers.   

9.    Takes reservations and money for various events.

10.  Interfaces with the public regarding the sale of mosaic jewelry/art pieces to include collection and depositing of monies.

11.  Interfaces with church members regarding Easter and Christmas flower dedications to include the preparation of worship bulletin insert listing contributors.  

12. Create labels and copy Homebound devotion, Wednesday Prayer list and Sunday Order of Service - assemble, stamp and mail Homebound mailout on Thursdays.   

13.  Refer persons to HAP and other agencies for benevolence needs. 

14.  Maintains files for outside groups using our facility to see that we have required paperwork and liability insurance coverage. 15.  Perform other duties as assigned.
 

3. Church Accountant: full-time, 37hours/week

The Job Description...

The Accountant is responsible for maintaining the overall church financial records; using these records in making and preparing periodical financial reports.  Responsibility also extends to the need for absolute confidentiality in all matters of individual giving records, contributions, and payroll.  Failure to maintain confidentiality could result in termination.  This job is a full-time salaried position.

Principal Responsibilities:
1.    Enter receipts and disbursements of all accounts according to financial system.

2.    Supervise and/or enter weekly offerings to individual contribution records; files envelopes. Draft donations (at request of donors) from members’ bank accounts, enter in software and notify individuals of draft timing.  Entering contributions made online directly to church bank account.

3.    Prepare bank reconciliation statements monthly.

4.    Prepare financial reports for Finance Committee, Deacons, and church business meeting, prepares monthly and annual financial statements.

5.    Work with the Finance Committee as needed, providing assistance and guidance.  Work with the Finance Committee Chair in preparing monthly statement for Deacons' meeting and quarterly business meetings as required.

6.    Execute overall responsibility for receiving invoices, purchase orders and check requests, securing needed approvals, processing checks for Finance committee authorization and mailing checks.

7.    Make monthly, quarterly and annual government reports - including withholding taxes and F.I.C.A.

8.    Report to the church the monthly status of the budget as it relates to receipts and expenditures along with reporting any problem areas that may arise to the Finance Chair.

9.    Check and total all invoices when approved; inform responsible persons, organizations or committees of their budget expenditures.  Prepare cash flow projections.

10.    Receive and answer queries concerning financial matters, maintain file of  correspondence, and reports.

11.    Introduce new members to financial practices as well as giving policies of church.

12.    Maintain records on church staff personnel.  Check and compute weekly time cards of hourly employees.  Receive and verify biweekly time records of salaried employees.  Maintain records of vacation, sick and conference leave.  Issues checks and direct deposits according to financial accounting policies. Enroll employees and maintain accounts for Medical Reimbursement and Dependent Care Funds.

13.    Maintain separate records for Heart of the City as to income, payment of bills, payroll and appropriate reports.  All invoices and time cards are approved by the HoCK Director prior to issuing checks.  Attend meetings as necessary to provide financial guidance.

14.    Perform human resource management to include retirement and health/life/disability insurance.  Meets with personnel to review coverages, answer questions and complete applications.  Works with insurance carrier and initiates payments for all coverages.  

15.    Work closely with Stewardship Committee in formulating and implementing stewardship plans.

16.    Supervise Accounting Assistant.

17.    Initiate sale of donated stock and send correspondence to giver with relevant stock price information.

18.    Work closely with Internal Review workgroup by providing documents, advice, and reports as needed to accomplish reviews of practices and procedures.

19.    Annually compile budget requests and provide reports to various committees in order to prepare annual budget.  Provide input as necessary on projections and historical financial data.

20.    Perform other duties as assigned.
